How do I see who has paid their rent?

Option 1 - Landlords receive a daily Summary e-Mail

Every time there is a change in your payment status, you will receive a summary email. It is easy to see all payments that are due, late, and on time.
  • Charges: Easily see all amounts due for the current month and all past amounts that haven't been paid.
  • Payments: Easily see current payments.
  • *: Indicates items that have changed since the last report.
  • Red: Indicates items that are past due.

How do I see who has paid their rent?

Option 2 - Review your multi-unit rent collection dashboard in real-time

It is easy to review the rent collection status across all units.

  • Show Units
    Select the units you want to review by selecting all units, a specific business, or a specific property.
  • Due Column
    The Due Column shows the amount of money that is currently due for the month. This turns red if the rent payment is overdue.
  • Received Column
    The Received Column shows the amount of money that has been paid for the month. As payments are made, this amount increases.
  • Comments Column
    Additional information is shown to make the rent collection status easy to understand:
    • If a tenant is on AutoPay, then AutoPay is shown
    • If a tenant has scheduled a payment in the future, then the date and amount of this scheduled rent payment is shown
    • If a tenant owes rent for more than one month, then the total due across all past months is shown
    • If a tenant has made a payment larger than the current month, the total rent collected during the month is shown
    • The lease status for a month may also show No Lease, Future Lease, or Lease Ended

How do I see who has paid their rent?

Option 3 - Review your unit rent collection dashboard in real-time

It is easy to review the complete rent collection status of a unit.

  • Lease
    Select the lease you want to review, which could be the current lease or an older lease.
  • Rental History
    All of the charges and payments are shown. Select the "Columns" button to show additional rental payment history details.
  • Additional commands
    Additional actions let you customize the lease:
    • Add Fee or Rent: Add any one-time charge, such as unitities, to the tenant's account. If you select this option, the tenant is automatically notified that an item has been added.
    • Reduce Rent: Add any one-time credit. If you select this option, the tenant is automatically notified that an item has been added.
    • Tenant Pays You Directly: If a tenant pays you directly outside of Schedule My Rent, you can enter the payment to provide everyone with a full lease history and prevent the system from continuing to collect rent.
    • Add, Edit, or Delete a lease
    • Access other functions: Tenant Status, Tenant eMails, Alocate Payments, and Reporting

How do I track payments that are deposited into my bank account?

It's easy to track payments to your bank account when you collect rent online with Schedule My Rent Landlord Software.

When a landlord adds a property, they assign a custom label for each unit. This label is passed through the banking system and is shown on the landlord's bank statement.

In this example, "Sunset #1" and "Sunset #2" are shown on the landlord's bank statement.

Many other companies are not able to do this since they out-source their processing.

Has my tenant signed up yet?

Click the "Tenant Status" button for the unit where the tenant lives. A pop-up box will show the status of a tenant with a blank space, a green check mark, or a red X.

  • Tenant Invited:
    • A tenant has to be invited in order to join a lease, which typically happens when you create lease. If the tenant was not invited when a lease was created or you want to sent another invitation, you can click the button to re-send the invitation if the tenant has not signed up yet.
  • Created Account:
    • A tenant automatically receives an e-mail invitation when a lease is entered. A tenant's account is created when they open the e-mail invitation, click on the link, and enter an e-mail and password to create an account to pay rent online.
    • Example: Jane Smith and John Smith have both created an account.
  • Done with setup
    • A tenant has completed setup when they accept the lease terms and have chosen either AutoPay or to Authorize Each Payment separately.
    • Example: Jane Smith and John Smith have both completed setup.
  • Bank Account Validated
    • Blank: The tenant has not entered a bank account.
    • Red X: The tenant has entered a bank account, but has not validated it yet or the bank account has been marked as invalid.
    • Green Checkmark: The tenant has completed validation of at least one bank account.
    • Example: Jane Smith has validated at least one bank account. John Smith has not validated a bank account yet.
  • AutoPay
    • Green Checkmark: The tenant has selected AutoPay, which automatically withdraws money on the due date every month.
    • Blank: The tenant has not selected AutoPay and needs to authorize each payment separately.
    • Example: Neither Jane Smith or John Smith have selected AutoPay.
  • MoneyGram Instructions
    • When a tenant pays with MoneyGram at Walmart, CVS, or other retailers, a tenant can see instructions on how to pay when they log into their account on Schedule My Rent.
    • If a tenant has not created an account, you can provide instructions by clicking the "MoneyGram Intructions" button. This downloads a document that shows the following information

You can also download a "Tenant Status" report with the following information:

  • Business, property, unit

What e-mails have my tenants received?

As a landlord, you should always know what information your tenants have received. You can easily see all e-mails that have been sent when you collect rent online.

Click the "Communications" button for the unit where the tenant lives. A pop-up box will show all communications that have been sent to people in this unit.

Some of the different rental property software e-mails are shown below. Each e-mail shows the date, time, and who the e-mail was sent to.

  • Your landlord has invited you
    An e-mail invitation is sent to all tenants when a lease is added requesting that they signup to pay rent online.
  • Thank you for signing up for AutoPay
    An e-mail confirming that a tenant has signed up for AutoPay and the amount that has been authorized.
  • AutoPay Payment Reminder
    An e-mail is sent approximate four days before the AutoPay date as a reminder.
  • Thank you for authorizing a payment
    A confirmation e-mail is sent when a tenant authorizes a payment.
  • Late Fee Waives
    An e-mail is sent when a landlord either waves or reinstates a late fee.
  • Please authorize a payment
    Several e-mails are sent reminding tenants who are not on AutoPay to authorize their payment.
  • Don't be late warning
    A "Don't be late" e-mail is sent to all tenants on a lease if the full amount of rent is about to be late.
  • Amount Past Due
    An Amount Past Due e-mail is sent to tenants that are late on rent.
  • Payment Receipt
    An e-mail receipt is sent for all payments made.
  • Your landlord has changed the amount due
    An e-mail is sent when the landlord adds or removes a one-time charge, such as a utility bill. The description and the amount that the landlord entered are shown.

How do I split rent between roommates?

Multiple tenants can be added to a lease. Simply go to the bottom of a lease, click the "+" button, then add additional tenants by adding their names and e-mail addresses. If a tenant has not made a payment yet, clicking the trashcan icon will remove the tenant. If a tenant has already made a payment, the tenant can be marked inactive by clicking the Active Box. The tenant invitation e-mail can be re-sent by clicking the forward arrow icon.

Each tenant on the lease:

  • Can decide how much rent they are going to pay. When a tenant signs into Schedule My Rent, they enter the portion of the rent they will be paying.
  • Can signup for AutoPay or can authorize each payment individually.
  • Automatically receives a reminder notification when it is time to authorize rent or a notification that AutoPay will make a payment.
  • Automatically receives a receipt when a landlord enters a payment made directly (e.g. check).
  • Automatically receives a notice if a landlord adds or removes a one-time charge, such as adding a utility bill to the amount the tenant owes.
  • All tenants on the lease automatically receive a warning e-mail when rent is close to being late and an overdue e-mail if rent is late. All roommates have the ability to pay the total amount due on the lease.

Can I add a utility or other one-time charge to my tenant's bill?

Landlords can create one-time items that either increase or decrease the amount of the rent or fee. Simply click the amount in the Due Column for the month and unit that you want to change. A pop-up box will appear to enter the date, amount, description, and rent/fee. Below are common examples:

  • Utility Payment
    Landlords often pass utility payments to tenants. A one-time fee can be added to the tenant's account.
    Example: 01/15/2016, PG-E Invoice 123456, $67.95
  • Pet Fee
    Landlords may have a one-time pet fee.
    Example: 07/01/2017, Pet Fee for dog, $75.00
  • Move-in Incentive
    A landlord may want to provide a one-time rent reduction as an incentive.
    Example: 05/01/2011, Move-in incentive, $100.00

What if a tenant pays me directly?

Landlords can accept payments directly from tenants in addition to collecting rent online. The payment is recorded by clicking the number in the Received Column for the month and unit. A pop-up box will appear which shows all payments that were collected electronically and manually.

Click the "Tenant Pays You Directly" button and enter the payment date, who paid, amount paid, and a comment. Then click the "Add Payment" button.

Tenants automatically receive a receipt of the payment by e-mail immediately after the payment is entered.

Are late and return fees added automatically?

You can stack any combination of late fees and daily late fees. Fees are automatically added to the tenant's account.

Late Fee
One or more late fees can be added to a lease.

Fee Description
Select a standard description that will be added to the tenant's account or create a custom description.

When to Add Fee
Enter the grace period after the rent is due. The late fee will automatically be applied if the rent is not fully paid and the end of the grace period has been reached.
For example, if rent is due on the 1st of the month and 4 days are entered, then the tenant has until the 4th to fully pay the rent. A late fee will automatically be added on the 5th of the month.

Enter a fixed late fee amount or a percentage of the rent amount.

Waive Late Fee
To waive a return fee that has already been added, go to the Unit View, then click the trash can icon next to the fee that you want to remove.

Daily Late Fee
One or more daily late fees can be added to a lease.

Fee Description
Select a standard description that will be added to the tenant's account or create a custom description.

When to Add Fee
Enter the grace period after the rent is due. The daily late fee will automatically be applied if the rent is not fully paid and the end of the grace period has been reached.

For example, if rent is due on the 1st of the month and a late fee is added on the 5th of the month, you can set the daily late fee with a 5 which will start adding a daily late fee the day following the late fee.

Enter a fixed late fee amount or a percentage of the rent amount.

If not paid, stop adding recurring late fee
Select when the daily fee stops being added if the rent is not paid. Options include:

  • When paid: Daily late fees will continue to be added until the initial rent is paid. Daily late fees will continue to be added in future months.
  • When X late fees have been charged: Select the maximum number of daily late fees that should be added
  • Unit the next specific day of the month: Select the day of the month that fees should stop.
  • At end of month: Daily late fees will automatically stop at the end of the current month.
  • Until the next rent is due: Daily late fees will automatically stop when the next rent is due.

Repeat frequency in days (1=daily):
Enter how often a daily late fee is added. One means that this fee will be added every day. Seven means that the late fee will be added every seven days.

Maximum amount of this late fee per rent:
Enter a maximum amount of daily fees per each rent period. Daily late fees will automatically stop when this maximum amount has been reached.

To waive a return fee that has already been added, go to the Unit View, then click the trash can icon next to the fee that you want to remove.

Return Fee
The return fee is a fixed amount that is automatically added if there is a payment return from the tenant's bank account. If tenants pay this fee, the full amount is transferred to the landlord's account.

What happens when a payment returns?

When a return occurs, both the landlord and tenant are automatically notified and applicable return fee and late fees are added.

Landlord
  • Receives an e-mail showing the unit and tenant that had a return
  • Return amount is automatically added back to the amount the tenant owes
  • Return Fee is automatically added to the amount the tenant owes (if landlord setup a return fee on the lease)
  • Late Fee is automatically added to the amount the tenant owes if the return makes the initial rent payment late (if landlord setup a late fee on the lease)

Go to the Unit Dashboard for a unit, then select the lease you want to see. The history is shown at the bottom of the screen. Click "Show Full History" to see all charges and all payments for this unit.

Can I see if my businesses are setup correctly?

You can download a report showing how your businesses are setup. The report includes:

  • Business
  • Property - see if each property is under the correct business
  • Unit
  • Default bank account - Funds will be deposited into this bank account unless a different bank account is selected with the lease
  • QuickPay - see if the option is set to yes or no
  • Credit cards - see if you have enabled credit cards on this business

Can I charge rent weekly or twice a month?

Rent can be added to the tenant's account monthly, twice a month, or weekly.

  • Monthly: Pick any day of the month
  • Twice a Month: Pick any two days of the month. i.e. 1st and 16th
  • Weekly: Pick any day of the week. i.e. Monday

Can I restrict partial payments or future payments from tenants?

For every lease, you can select if partial payments are allowed or not. If partial payments are not allowed, then a tenant has to pay the full amount due or nothing.

  • Allow partial tenant payments:If checked, a tenant can pay a smaller amount than is currently due. Partial payments should be allowed if there are multiple roommates that will each be making a payment. If not checked, one tenant on the lease must pay the full amount due.
  • Allow tenants to schedule payments in the future: If checked, a tenant can schedule a payment in the future. If unchecked, a tenant can only schedule a payment for today.
  • Allow tenants to schedule payments in the future when past due: If checked, a tenant can schedule payments in the future if partial payments are allowed. If unchecked, then a tenant can only schedule payments in the future if there is not currently a past due amount.

Can I restrict the types of payments that tenants are allowed to pay rent with?

For every lease, you can restrict the types of payments a tenant can use to pay rent

  • Bank Account: Select if tenants can use their bank accounts to pay rent
  • Credit/Debit Card: Select if tenants can use a credit/debit card to pay rent
  • Cash at MoneyGram: Select if tenants can use cash at MoneyGram to pay rent. If there are tenant payment issues, you can select that only MoneyGram is available to pay rent. This reduces risk by eliminating returned payments that may occur with bank accounts and credit/debit cards since cash payments can not return.

Can I use different bank accounts for rent payments, security deposits, pre-paid rent, and service fees?

At the business level, you can select a different bank account for every type of payment (rent, deposits, pre-paid rent, and fees). All properties and leases within this business will use these "default" bank accounts. Within each lease, you can over-ride these defaults and you can use different bank account within each lease.

Having the ability to use different bank accounts for different business for different types of payments is very important in some states. Some states have laws that require security deposits and other money being held to be kept in separate bank accounts.

  • Where to deposit money: Select the bank account to use when tenants pay you rent
  • Where to deposit security deposits: Select the bank account to use when tenants pay your security deposits
  • Where to deposit pre-paid rent: Select the bank account to use when tenants pay you pre-paid rent, such as when a tenant pays for the last month at the beginning of the lease.
  • Where to withdraw fees: Select the bank account to use when Schedule My Rent withdraws service fees once per month

Can I select if I receive one deposit for each unit or for all units?

For every business, you can select how your deposits are grouped. Many smaller owners and rental property management companies prefer to have one deposit for each unit in their bank account. Many large owners and rental property management companies prefer to have a single deposit across all units in their bank account.

  • Separate deposit for each unit: Each unit will have a separate deposit for each day that there is a payment made. For example, if there are two roommates and they each make a payment on the 1st of the month for $500 each, then there will be one deposit in your bank account for $1,000. Your bank account will show "ScheduleMyRent", $1,000.00, and the "label" that you setup for that unit. The label makes it very easy to track your deposits within your bank account. For example, if you setup the label as "100 Main", then your bank statement will show "100 Main" to make it really easy to see the reason for the deposit.
  • Single deposit for all units: If you have many deposits for a single day, it may be easier to combine all unit payments into a single deposit. For example, if you have 750 units that make a payment for a day, you will have a single deposit in your bank account instead of 750 deposits. You can setup a custom "label" within Schedule My Rent that is shown on your bank statement for this deposit to make it easy to identify the source of this deposit. In order to reconcile the total balance amount, you can click on Reporting, then select the "Deposit" report type, then select the date range, report style, and format that you would like to see.

Can I select which rent charges a payment is applied to?

Payments are automatically applied to rent charges based upon the setup selected.

If you need to move a payment to a different charge, you can move it from the Unit View by selecting the "Allocate Payments" link, then in option 2 you can select the payment you want to move and the charge you want it to be applied to. Some state laws require that landlords apply payments to specific charges if the tenant makes a request so this option is very important to stay compliant with some state laws.

  • Apply payments to oldest amount first: This option pays the oldest item first, which could be rent, a late fee, utility fee, or any other charge that was added. The oldest item is paid first and if the payment is larger than the oldest item, then the payment continues to be applied to the next change until the payment is completely applied.
  • Apply payments to rent due first, then to other outstanding charges due: This option pays all of the rent items first, from the oldest rent to the newest rent charge. Once all of the rent has been completely paid, then other outstanding charges, starting with the oldest, will be paid. This option typically results is fewer late fees being charged to the tenant since payments will be applied to the rent first.
  • Apply payments to other outstanding charges first, then to rent: This option pays all of the other outstanding charges (late fees, utilities, etc.) first, starting with the oldest charge. Once all of the other charges have been completely paid, then rent charges, starting with the oldest, will be paid. This option typically results in additional late fees being charged to the tenant since payments will be applied to other charges first and rent that hasn't been fully paid will have a late fee added.

How do I select the lease start date and end date?

Each lease operates independently with its own start date, end date, and conversion to month-to-month option.

  • Date that lease starts: Enter the date that the lease starts by either selecting the calendar icon or by typing the date directly into the field.
  • Month-to-month Lease: If the lease is month-to-month, select the circle next to this option. Rent will automatically be added every month. When a tenant moves out, select the Fixed Term Lease option and enter the date that the tenant moves out in the "End date" field so that additional rent will not be added after this date.
  • Fixed Term Lease: If the lease has a fixed end date, enter the date that the lease ends by either selecting the calendar icon or by typing the date directly into the field. If the lease automatically converts to a month-to-month lease after the initial term, click to add a checkmark in the "Month to Month after Fixed Term ends" box. When a tenant moves out, uncheck this box so that additional rent will not be added in future months.
